What is a Primary ID vs Alternate ID?

An Item ID can be a barcode, QR code, brass tag, etched number, serial number, a random number, or something else.

The main identifier is the primary item ID (Primary ID). Any additional references are called alternate item IDs (Alternate IDs). Primary IDs are required. Alternate IDs are optional.

Primary and alternate IDs can be used on transactions and other documents interchangeably.

Each serialized tool or piece of equipment must have a primary ID. Each part number for bulk, consumables, parts, small tools, materials, and non stock inventory must have a primary ID set at the Part Number.

Search for a Primary ID or Alternate ID the same way: Type the ID in the Item ID field and press Enter (or click Search). The results will be displayed showing the Primary ID in the Item ID field even if you searched for an Alternate ID.

Examples:

  • A site truck might have a barcode as a primary ID to efficiently issue and return it. The VIN, license plate, and truck unit number may each be stored as alternate IDs. Using any of these references will point to the same vehicle. Transactions, look ups, work orders, etc using any ID will all find the same vehicle.
  • Gloves of the same type but of different brands share the same part number and primary ID. The tag on the inside wrist has a UPC code that is different for each brand. These UPC codes can be added as alternate IDs to the part number to simplify issuing gloves.
