Track Consumable Inventory by Lot Numbers

Updated by Cheryl Wallace

Batch Lots

For any consumable inventory in quantities needing to be tracked by lot, we recommend that you have one part number per lot number. Embed the lot number as part of the Part Number and Description for clarity. As the quantity for that lot is used up, make the part number inactive. Create a new part number as each batch for a new lot number is received.

Example: To track each abrasive discs size by batch lot, use the base part number of "DISC-4.5IN-" and append the lot number. Add the lot number to the end of the description. Create an inventory adjustment for the quantity in the lot.

Part Number: DISC-4.5IN-14708

Description: Disc, Abrasive, 4 ½ INCH, Lot number 14708

Batch Lots and Expiry Dates

You can use this method to also track batches or lots with expiry dates. To eliminate the risk of multiple lots with the same expiry date, append the expiry date to the Part Number as well as the lot and use one of the Part Number Userfields to store the expiry date. This allows you to report with criteria to ensure any expired lots or lots approaching the expiry date is removed from inventory.

Example: To track PCR tests by batch lot number and expiry date, use the base part number of "PCR-" and append the lot number. Add the lot number to the end of the description. Create an inventory adjustment for the quantity in the lot.

Part Number: PCR-X20123704-20220317

Description: SARS-CoV-2-Antigen Rapid Qualitative Test, Lot number X20123704, Expiry 2022/03/17

Userfield 1 (expiry date): 2022/03/17
