About Locations

There are two types of locations:

  • Stocking Locations own inventory and issue inventory out to entities. Examples are tool cribs, warehouses, or distribution points. When either the Transaction Rental or Transfer Rental modules are in use, stocking locations might also be Billing Locations.
  • Non-stocking Locations are either a placeholder in the location hierarchy to represent your organization or represent physical sites, such as project sites, that inventory is checked out to but no individual accountability is required. Non-stocking locations cannot own inventory.

These two types of locations are used to create a location hierarchy where non-stocking locations can be parents to stocking locations and, possibly, children to stocking locations. The location hierarchy is used to designate a scope or area of "visibility" in the hierarchy.

All the existing locations are displayed on the left pane of the tab in the tree diagram (this can be hidden by clicking the Show/Hide Tree View button). Location types define whether the location will carry inventory or not and can be color-coded as a visual cue to their purpose.  Inventory is assigned to a stocking location. Personnel and employers are assigned a location visibility which defines the inventory visible to them. For example, Tool Crib A and B are on a job site in a region of the country which are all defined as locations.  The job site is above the tool cribs in the hierarchy and the region of the country encompasses one or more job sites.   Personnel granted the visibility for the location Tool Crib A will not be able to access inventory in Tool Crib B but personnel given visibility for the job site will be able to access inventory in either crib.

Information stored for each location includes basic identifying information such as the location ID, the location name, the location type, the location time zone and the location hierarchy.  Multiple tabs are used to manage details for addresses, the settings defining behavior for issue locations, the sequences used for automatic document number generation, the definition of external rental and internal billing rates, and taxes for the location.

Common fields on the Location page, which must be completed before going to any of the tabs, are described below:

ID

Displays the unique identifier for a location.

Location Name

Displays the name of the location. Up to 50 characters.

Location Type

Select the location type to determine the behavior of the location.  The correct location type is critical to the location.

Active

Designate whether the location is active.  Locations are active by default. Inactive locations are only visible in the Locations page using the Lookup.

Parent Location

Select a pre-existing location appearing above this location in the hierarchy from the drop down list.

Billing Location

When checked, a Billing Location indicates whether a stocking point is charging rent to entities or other stocking locations.

Applies only to stocking locations when either the Transaction Rental or Transfer Rental modules are in use.
