Importing Data

Before importing data, ensure you have downloaded and completed the import template spreadsheets for the type of data you wish to import.

  1. Click Utilities in the left side menu bar and click Import Data.
  2. Navigate to the data import option for your import by expanding the header then click to select the import type.
  3. Scroll down to click Choose File to the right of Select File. Select the corresponding .XLSX file and click Open.
    Select File and Choose File are not displayed unless an import type has been selected.
  4. Click on the toolbar. After a short delay, the Results panel will be displayed in place of Select File and Choose File.
If an "invalid file" or other error is displayed, it is likely you have clicked the wrong data import option or you are using an outdated template. First double-check the data import selected. If that is correct, download a new sample template and copy the your data into the new template before starting again.
If "Import completed with errors" is displayed, this relates to specific rows in the spreadsheet. This is not uncommon. The any rows without errors will be imported. Continue with the step below to determine the details of the errors for the the specific rows.
  1. Review the Results panel.
    1. If Rows With Errors is more than 0, don't panic. Click Click here to see results to download and save the Excel spreadsheet with your data and additional column at the right indicating whether the record was created or updated, or the describe error preventing the data from being imported.
      1. Address each row with an error, correcting the data in the row. You can update either the original spreadsheet you imported if errors affect many rows or this Results spreadsheet. Keep in mind that the error could be caused by an out-of-date template.
      For efficiency, save the rows with corrected errors to a different spreadsheet, such as the Results spreadsheet, if the original spreadsheet was mostly successful. Importing only the rows that previously errored will speed up processing time for the import.
      1. Start from the beginning to import the spreadsheet with the corrected errors.
    2. Compare Created and Updated numbers. Imports will not create duplicates. Existing records will be updated. If desired, click Click here to see results to download and save the Excel spreadsheet with your data and additional column at the right indicating whether the record was created or updated.
    3. If Rows with Errors is 0, you have successfully completed your import. If desired, click Click here to see results to download and save the Excel spreadsheet with your data and additional column at the right indicating whether the record was created or updated.
