About Transaction Charges

Transactions Charges displays all charges for rentals and sales triggered by transactions when using the Transaction Rental module. Manual charges for credits, surcharges, or miscellaneous fees can also be created here.

Fields on this tab include:

Billing Location

The stocking location from where the inventory was issued.

Renting Entity

The entity on the transaction or manual charge who is billed for the inventory.

Transaction No.

The transaction from which the charge was originated. Click to view the entire transaction in a new tab. For manual charges this will be blank.

Transaction Date

This will be blank for manual charges or else it will display the date of the transaction

Billing Date

The Billing Date of the transaction. This is not necessarily the same as the Transaction Date. For manual charges this will be blank.

Item ID

The item ID of the inventory on the transaction.

Part No.

Displays the part number of the item being rented.

Description

Displays description based on the part number selected.

Transaction Rate Sheet

The rate sheet used for this transaction. This is determined automatically at the time the transaction is created based on the Billing Location and the Renting Entity.

Currency Name

Automatically determined by the Transaction Rate Sheet and your company settings.

Job

The job being billed.

Sub Job

The sub job being billed.

Cost Code

The cost code being billed

Reference

The reference entered on the transaction for which the charge was incurred or manual charge

Notes entered on the transfer for which the charge was incurred or added to the manual charge.

Rental Status

  • Return is generated by the inventory being returned to the stocking point.
  • Sale is generated by issuing consumable and non stock parts or selling (Sold transaction type) serialized or bulk inventory
  • Manual is displayed if a charge is manually created.
  • Partial is generated by the Partial Billing process on the billing cycle.
  • Stop is generated if the rental is stopped manually independent of a transaction.

Start Date

The beginning date of period covered by the rental charge. By default the Start Date and End Date are the same for manual charges.

End Date

The ending date of period covered by the rental charge. By default the Start Date and End Date are the same for manual charges.

Initial Charge

For transactions this is the initial charge from the associated rate sheet if applicable. For a flat-rate manual charge, this is the amount of the charge.

Idle Rate

This is checked when the Idle Rate has been used instead of the rental rates.

Qty

The quantity of the item ID on this charge. For a credit, this can be a negative number.

Total

Auto generated based on the period, quantity and rates entered.

Invoiced

This is a manual option for your records and not tied to any business rules or workflow in ToolHound.

Hours

The number of hours based on Start Date and End Date.

Days

The number of days based on Start Date and End Date.

Weeks

The number of weeks based on Start Date and End Date.

Months

The number of months based on Start Date and End Date.

Hourly

The hourly rate from the associated rate sheet.

Daily

The daily rate from the associated rate sheet.

Weekly

The weekly rate from the associated rate sheet.

Minimum Charge

The minimum charge from the associated rate sheet.

Maximum Charge

The maximum charge from the associated rate sheet.
