What is an Entity or Entity ID?

Updated by Cheryl Wallace

Entity refers to either a Personnel record (employee, trade, or craft) or non-stocking Location (such as a project site which may have an associated PM or superintendent or a truck) responsible for checked out inventory.

The Entity ID is either the Personnel ID or the Location ID and must be unique. A Personnel ID cannot exist as a Location ID and vice versa.

Entities are accountable for the inventory issued to them from the stocking location or can return inventory to the stocking location. Inventory can be reassigned between entities in the field. Entities can also create requisitions or service requests.

Entities cannot issue inventory as they do not own it. Only stocking locations can issue inventory they own.

Finding an entity: Entity fields are type-ahead. Start typing part of the Entity ID or name and matching entries appear. There is no button to show the full list. Results are limited to 100 at a time and the field tells you when there are more matches than are shown, so keep typing to narrow them down.

Disambiguation: A user refers to a login for the application with a password or using SSO. Tools are not issued out to users. Users create issue and return transactions.
