Scheduling a Report

Scheduling a report begins with configuring a report to email and then the schedule is defined.

  1. Select the report and configure the various options.
    1. Configure any Filters or Advanced Filter.
    When using relative dates ('this year', 'today', 'last week', etc) use Advanced Filters to ensure the dates are in relation to the execution of the report, not the date the report was created.
    1. Modify the Sort order of data appearing on any non-templated report, if desired,
    2. Configure the Email tab with the distribution list and file type.
      1. If desired, change the default Attachment File Type from PDF to Excel.
      2. Edit the default email Subject if required.
      3. Add any Notes to be included in the body of the email.
      4. Click to select a user to add to the User List. Repeat to select additional users to receive the report.
      5. Click to the right of Add Entity to select from a list of personnel and non-stocking locations with email addresses. The entity name and email address is added to the Entity List immediate below.
      6. Type an email address in Add Recipient and click to add the address to the Recipient List. Repeat to specify additional email addresses to receive the report.
  2. Click on the reports toolbar to display the Create Scheduled Report window. The Name and Description (if available) will contain information from the report but can be modified. The Time Zone will contain the local time zone but can be changed.
The body of the email will include the both the report Name and Notes.
  1. Define how often the report will be sent on the Recurrence tab. Select one of the options on the left and configure the associated parameters.

    None

    The report is generated only once at the Start Date and Start Time defined on the Range tab.

    Daily

    Select Every _ day(s) and enter the number of days or Every Weekday.

    Weekly

    Enter a number for Recur every _ week(s) and on which days of the week.

    Monthly

    Enter a number for Recur every _ month(s) then select either on the [day of month] or [_th] [day of the week]

    Yearly

    Enter a number Recur every _ year(s) and select the [Month] then select either on the [day of month] or [_th] [day of the week]

  2. Configure until when the report will continue to be run on the Range tab.
    1. Set the Start Date and Start Time to run the report. This will default to the current date and time. If None was selected on the Recurrence tab, this is the one time the report will be emailed.
    2. Define when to stop sending this report. If None was selected on the Recurrence tab, no options will be displayed.

    End by

    Select a date using the calendar.

    End after _ occurrences

    Enter a number of occurrences, or times, to email the report.

    No end date

    This report will run forever until the scheduled report is either made inactive or deleted.

  3. Review the Recipients tab to review or change the information originally entered on the Email tab of the report.
  4. Click Create to proceed with scheduling the report or Cancel to close this dialog box.

If a scheduled report contains no results, an email will be sent containing the comment "No Data".
