About Scheduling Reports

Scheduling a report emails the report as the selected file type (either PDF or Excel) on the defined scheduled frequency to the distribution list make up of a combination of one or more users and recipient email addresses.

Any report that can be sent by email can be scheduled.

If a scheduled report contains no results, an email will be sent containing the comment "No Data" in the body of the email.

Name

The name of the standard system report or customized duplicated report.

This report name is included in the email with the report attachment.

Time Zone

The system time zone or selected time zone.

Active

Whether or not the report schedule is active. Active by default.

Last Queue Date

The date the report was last in the queue to be emailed.

Times Queued

The number of times the report was queued to be emailed.

Description

A longer description of the report separate from the Name. This is for reference only and not included with the email.

Next Queue Date

The next time the report will be queued to be emailed.

Remaining

The number of times the report remains to be queued if a number of occurrences has been specified.

Recurrence

None

The report is generated only once at the Start Date and Start Time defined on the Range tab.

Daily

Select Every _ days(s) or Every Weekday

Weekly

Enter a number for Recur every _ week(s) and on which days of the week.

Monthly

Enter a number for Recur every _ month(s) then select either on the [day of month] or [_th] [day of the week]

Yearly

Enter a number Recur every _ year(s) and select the [Month] then select either on the [day of month] or [_th] [day of the week]

Range

This tab displays the duration for which the report is scheduled.

End by

Select a date using the calendar

End after _ occurrences

Enter a number of occurrences, or times, to email the report.

No end date

This report will run forever until the scheduled report is either made inactive or deleted.

Sort

This tab displays the sort order(s) of the data on the report.

Sort By

Then By

The first row will be prefaced with Sort By. This is the initial sort for the report. All subsequent rows will be prefaced by Then By.

Column name

Select or displays a combination of table (data type) and column (field) name for types of information related to the report. These are the same as the fields available for Advanced Filters. Examples: Inventory - Part No, Inventory - Description.

Sort order

Choose from ASC (ascending or smallest-to-largest) or DESC (descending, or largest-to-smallest). Default value is ASC.

Delete the row for this sort order.

Recipients

This tab displays the attachment file type and the list distribution list comprised of one or more users, entities, and recipient email addresses.
