About Users

Use this page to create and maintain user logins for those who will be accessing ToolHound either in the browser or the Mobile app. Each user record contains contact information, the user login, password, and specifics for how the user will access and view data.

  • A named user is a user login that has access to both the browser and the TH6 Mobile app. By default, all user records have access to both the browser and Mobile app. The number of licensed named users is displayed on the Licence Information page under Utilities. If you have reached the number of licensed users and wish to create a new user login, either make one of the existing users inactive first or contact your account manager for information on licensing additional users.
  • A mobile only user can only access the TH6 Mobile app. Unlimited users of this type can be active independent of the number of licensed named users.

Each user can be logged in on multiple different devices concurrently. This means a user can be a shared login for multiple people but you will lose traceability of who performed what action. Keep in mind that an email address is required for each user login.
Users cannot be deleted if they have any associated transaction history. If these users will not longer be logging in should be made inactive by removing the Active flag. Users without transaction history or view only be deleted.

Fields on this tab include:

Visibility

Defines the locations available to the user. If the user will be accessing several sibling locations, choose a parent location as only one visibility location can be chosen.

User Name

A unique name for the user. Up to 512 characters.

Password

A password of at least eight characters. Passwords are case sensitive and can include

  • both upper and lower case characters (e.g. a-z or A-Z)
  • numbers
  • special characters
Even when using SSO, a password is required to be added to the user record even if it is not entered when logging in.

Password Last Modified Date

This field displays the date when the password was last modified.

First Name

The first name of the user. Up to 60 characters.

Last Name

The last name of the user. Up to 60 characters.

Access Actual Cost

If this box is checked the user can view all inventory costs.

If not selected, the user cannot view the Last Cost, Average Cost, Unit Cost or Revenue to Date for inventory on the page. Costs will still appear on reports. Project Cost will still be visible.

Selecting a role where either Transaction Rate Sheets or Transfer Rate Sheets is set to No Access will prevent the display of these tabs on the Part Numbers page.

Language

The language the user will view. The default is the company language but it can be changed for each individual user.

Currency Name

The chosen currency for the user. The default will be the currency of the company but it can be changed.

Email

A valid email address for the user is required. Up to 200 characters.

The user's email is entered so that they can retrieve or reset their password or when using SSO.

When using SSO, email addresses must be unique.

Expiry Date

Set a date in the future on which to make the user inactive. Useful for logins for contract or short-term labor.

If the Expiry Date has passed and you chose to remove it to resume using the login, you must add the Active flag as well.

Active

Users are active by default. Inactive users cannot log in to ToolHound.

Mobile Only

When checked the user can only log in to ToolHound on a mobile device, and not through the browser. Mobile users do not count against the total number of licensed named users.

Two Factor Enabled

Displayed only when Two Factor Authentication (2FA) is enabled. Once a user has configured 2 Factor Authentication, this will be checked.

If the user needs to reset their 2FA account and can no longer log in, remove the check and save the change. The user will be able to log in without 2FA before configuring it again.

User Field 1

Up to 200 characters of supplementary information.

User Field 2

Up to 200 characters of supplementary information.

User Field 3

Up to 200 characters of supplementary information.

Home Phone

Home phone number. Up to 60 characters.

Work Phone

Work phone number. Up to 60 characters.

Address

The address of the user.

City

City of the user. Up to 100 characters.

Country

The country of the user.

State/Province

The State or Province of the user.

Zip/Postal Code

Zip/Postal Code of the user.

Role

In the Role grid, assign a role defining the permissions for features and pages the user can access. More than one role may be assigned.
