About Purchase Orders

Purchase Orders are part of the add-on Purchasing module. Use this page to view, edit, approve, cancel, and create purchase orders for vendors as well as view the history of inventory received against each purchase order.

General tab for Purchase Orders

The General tab for Purchase Orders page is the default tab. It displays the identifying information, state of the purchase order, shipping details, and the associated purchase requisition if one exists.

Details tab for Purchase Orders

The Details tab of the Purchase Orders page is used to review purchase order line items before flagging the purchase order as being Ready to Approve.

When an approval process has been defined for purchase orders, the Approvals tab is displayed if either the Ready To Approve box on the General tab is checked or if the PO document is approved by at least one approving authority...

Creating a Purchase Order

Click Purchasing in the left side menu bar and click Purchase Orders. Click +​ to add a purchase order. Enter the minimum required information. Click the Details tab...

Editing a Purchase Order

Usually a PO is edited to advance or change the status. Once a purchase orders order is approved, it is locked.

Canceling a Purchase Order

Look up the PO to cancel under Purchasing > Purchase Orders. Click Cancelled. Click Save.

If no approval process has defined for purchase orders... If one or more approval processes for purchase orders has been defined for your organization...

Closing a PO Line Item

A purchase order line item can be closed to remove outstanding On Order quantities for a backordered part number. If the only remaining line is closed, this will close the entire Purchase Order. An entire Purchase Order can also be closed if it has been partially received.
